An exciting opportunity to become a Programme Coordinator

Dunedin Workers’ Educational Association (WEA) Te Wāhi Ākoranga o Ōtepoti is seeking an enthusiastic, community minded part time Programme Coordinator to manage our adult education classes.  The person we are looking for will work in the fixed term position 10 – 12 hours per week during the school terms. There is flexibility in this role to work from home, with some hours based at the South Dunedin Community Network rooms. A computer and cellphone will be provided to the successful applicant.    

About Us

Part of a worldwide organization of WEAs, Dunedin WEA offers classes to adults to enable them to gain skills and contribute to leading fulfilling, content lives. We promote lifelong learning in a range of arts, cultural and skills based areas including painting, water colour, drawing, quilting, cooking and photography classes. Our programme varies from term to term and is always open to new and interesting ideas that meet the needs of our community.  Our classes are available to all people, regardless of ethnicity and/or gender and are based in South Dunedin. As this is a low socio-economic area in Ōtepoti, we have a strong emphasis on making our classes as financially accessible as possible. In 2024, over 200 people enrolled for our classes. 

About You

You will have a passion for community-led development and will demonstrate an ability to work in a flexible, changing environment. You will have a warm, friendly personality and will be self-motivated, non-judgmental, patient and trustworthy. 

You will need to be comfortable working without supervision while being accountable to the governance committee. Tasks include supporting tutors to deliver classes and oversight of the booking system.  The Coordinator will also be responsible for ensuring implementation of our health and safety policies and practices  and will maintain a positive relationship with the South Dunedin Community Network team. Experience with Google Workspace and Microsoft Office including Google Drive, Gmail, Google Docs and social media platforms is desirable. Previous experience working with Xero and ‘not for profits’ or community funding applications would be an advantage.

Appendix 1

Dunedin WEA Programme Coordinator list of duties

The Programme Coordinator reports to the DWEA Committee via the governance committee Chairperson.

  • Sustaining a termly programme of classes which meet minimum enrolment numbers 
  • Maintaining a positive working relationship with tutors, and supporting them in their roles 
  • Maintaining a positive liaison with South Dunedin Community Network Manager and staff 
  • Compilation and distribution of one newsletter to our mailing list each term 

Programming 

  • Develop the term-by-term programme in liaison with tutors  
  • Recruit, interview and contract tutors in collaboration with the Chairperson 
  • Develop and maintain a tutor’s folder for new tutors 
  • Carry out tutor induction with new tutors  
  • Upload courses to BookWhen, an electronic course booking system 
  • Publish class rolls for tutors 
  • Liaise with venue providers, tutors and students to ensure the smooth running of classes 
  • Sight Community Services cards where applicable 
  • Monitor and receipt payments following up unpaid course fees where applicable 
  • Carry out evaluation of courses where required 
  • Provide administrative support to tutors – photocopying course notes etc. 
  • Develop advertising and market courses using social media platforms such as Facebook 
  • Respond to complaints following the DWEA complaints procedure 
  • Purchase materials and equipment as required for courses 
  • Maintain Inventory/Register of Assets 

Finances 

  • Monitor BookWhen, our class booking system and record all enrolment fee receipts in BookWhen and Xero, using correct categories for each transaction 
  • Follow up on all unpaid enrolment fees for each term 
  • Complete PAYE returns 
  • Maintain petty cash records 
  • Work with the Treasurer to prepare an Annual Performance report  
  • Attend to payments for tutors 
  • Pay accounts payable and record transactions in Xero
     

Committee Servicing 

  • Take minutes –including the Annual General Meeting 
  • Circulate minutes, agendas and reports 
  • Follow up on tasks agreed to at meetings 
  • Preparation for AGM including circulation of Annual Report 
  • Provide support to committee members 

Reporting 

  • Provide a monthly Programme Coordinator’s report and term statistics as requested by the DWEA committee 
  • Provide annual statistical data from classes, as requested by the committee, as part of the Annual report 

Reception 

  • Answer telephone queries and attend to enquiries about courses 
  • Receipt and answer correspondence  

Health and Safety 

  • Ensure SDCN Health and Safety procedures are followed. 
  • Report any incidents to the DWEA Chairperson and committee. 

Communication with Members 

  • Prepare a newsletter once a term, in liaison with the Chairperson 
  • Support the governance committee to keep our website current and relevant
